Making  a  Booking  &  Terms and Conditions of Hire

To check availability and make a provisional booking, please contact the bookings secretary, Amanda Nicholson on 01904 (York) 764358 or 07989 193 758.  You will be sent a booking form for completion.

Alternatively, complete  our email booking enquiry form, giving the dates and times you would like to book. You will receive a reply advising if the dates and times are available, together with a  booking form for completion.

When you have completed the booking form, please return it to us to make your booking. (The address for return is shown on the form).

Please note, When hiring the main hall, or the whole site, use of the kitchen is included if you require it.  If you are not using the whole site there may be other hirers using the premises.  Please use only masking tape for fixing notices to walls.  Sellotape type tape is not permitted.

Licensing Notes :-  Haxby Memorial Hall has a Premises Licence authorising the following regulated entertainment and licensable activities between the hours of 9am and midnight each day.

*  The Memorial Hall is not licensed for items (8)  (9)  and  (10)  above.  If you wish to use the Hall for activities for which the Hall is not licenced, it is your responsibility to have a  Temporary Event Notice in force. Permission must first be granted by the Trustees. The booking form will serve as your request to the Trustees.  If your request is accepted, the Trustees written permission will be sent to you together with a guide about the Temporary Event Notice.

Temporary Event Notice (Alcohol) :-    If you SELL alcohol a Temporary Event Notice (TEN) is required.    If you are providing FREE refreshments including alcohol or bringing your own alcohol, a TEN is not required, unless you charge for admission either at the door or by advance ticket sales when a TEN is required.

Music :-   The hall is  licensed by PRS for Musical  Performances. This includes live music by performers in person at concerts, recitals and other events; background music by radio;  television;  tape, record, disc players; juke boxes; music at discotheque or karaoke sessions;  film and video shows;  aerobic, keep fit and dance classes.

Fire Exit Doors :-  Tables and chairs and other obstructions must not be placed across or in front of Fire Exit Doors.

Condition Deposits :-  For adult parties and any entertainment events the condition deposit is £100. A condition deposit is not required for other events. This deposit is payable at least fourteen days before the date of the booking, together with the full hire fee and will be refunded in full after the event unless:

  • Any room in the hall is not left in a clean or tidy condition

  • There is damage to the interior of the premises or its contents. the builing exterior, the car park or the garden.

  • The Conditions of Hire, including Hire times are infringed

In these instances the deposit may be refunded in part.

Payment & Cancellation:- When you receive your booking form, please complete it and send it together with  your cheque (or notification of Bank Transfer) to the Treasurer at the address shown on the booking form at least 14 days before the date of the booking.  If however, you are making a booking for a hire which is less than 14 days ahead, you must pay in full at the time of booking.  Cancellations made with less than 14 days notice may be subject to a charge, at the discretion of the Trustees.
